Digital signage

Guidelines:

  • University of Iowa campus departments and student organizations providing events, activities, or services are eligible to request ads to be displayed on our systems.
  • Requests should be submitted at least two weeks prior to the start of your first choice week.
  • Screen space may be requested for a flexible two-week period.
  • Artwork and information must be in a finalized format at the time of submission.
  • Slides must be saved as a jpg and sized to 1920x1080 pixels.
  • Each slide will be displayed for 10 seconds per rotation.
  • Image-space is limited, so the text on the ad should be MINIMAL (important information ONLY):
    • Name of sponsoring organization
    • Name, date, time, and location of the event
    • Contact or registration information
  • All images must include a disability statement.
    • Example: "Individuals with disabilities are encouraged to attend all University of Iowa sponsored events. If you are a person with a disability who requires an accommodation in order to participate in this program, please contact us in advance at {include contact name/phone/email of event organizer}."
  • Recreational Services is not responsible for technical difficulties in the event of an offline system and does not guarantee available slots.
  • Recreational Services reserves the right not to approve content and design deemed professionally inappropriate or unacceptable.

Solicitation/display tables

This solicitation policy covers reservations of solicitation/display tables in facilities managed by Recreational Services.

Guidelines:

  • Tables may be requested at the Campus Recreation and Wellness Center (CRWC), Field House (FH), or Hawkeye Tennis and Recreation Complex (HTRC).
  • Student organizations, UI departments, or any organization affiliated with the University of Iowa are allowed to request a table.
  • Tables must be attended at all times.  Groups may not disrupt recreational users who do not approach the table.
  • Table Location Options:
    • CRWC Location: area adjacent to the climbing wall or near the television by the River of Life Mosaic
    • FH Location: Main Deck
    • HTRC Location: Front lobby
  • A $25 fee will be charged to reserve a table for no more than two hours.
  • One group per day per facility is allowed to be scheduled.
    • Max of two groups per week per facility.
    • Groups are limited to one day per month in any Recreational Services facility.
  • Groups must sign up at least one week in advance.  Reservations cannot be made more than six months in advance.
  • Groups are limited to one table.  All extra items must be approved.
  • Cancellations must be made prior to 48 hours of scheduled reservation.
  • The exchange of money at the table is strictly prohibited.
  • Content must be appropriate for all ages.
  • Recreational Services reserves the right to deny approval to any group.
  • Recreational Services reserves the right to change or cancel a reservation due to facility closures and events.

Print marketing

Recreational Services provides digital signage as an alternative option to print marketing for campus departments and student organizations to advertise their programs, events, and services.  Apart from print marketing that is distributed during a solicitation/display table reservation, no print marketing may be displayed/distributed within Recreational Services facilities.  Exceptions are given to departments that share facilities with Recreational Services and may be given on a case-by-case basis to organizations partnering with Recreational Services to provide a service or program.

Website

Recreational Services only promotes services and programming directly connected to the department on the Recreational Services website.  This policy also applies to the University of Iowa Events Calendar.  If Recreational Services is partnering with another organization that is hosting an event, Recreational Services will support promotion of the event on the website through the UI Events Calendar.  If the event is not hosted by Recreational Services or a direct partnership, the event will not be approved. If denied, the event will not be displayed on the Events Calendar housed on the Recreational Services website.
